The DriveDesk mobile app

One app, three home screens — how drivers, sales reps, gatekeepers and managers use DriveDesk on the phone.

The DriveDesk app is a free download — search for DriveDesk on Google Play, or use the download page on this site. It is one app with three home screens — which one you get depends on your permissions, not on a setting you have to choose.

Signing in

  • Sign in with your email address or your phone number, and your password.
  • You stay signed in between shifts — the app refreshes your session in the background rather than logging you out.
  • If you work at more than one dealership, you pick which one at sign-in and can switch inside the app.
  • The app checks it is up to date before you sign in. If your dealership requires a newer build, you are prompted to update from the store.

The field home

Drivers and sales reps see their assigned work as a list of cards with the customer's name and the current status. Opening a card shows the vehicle, the stops with their planned times, and only the actions that person is allowed to take.

Doing a customer handover

    1. Start

    Open the stop and tap Start customer handoff.

    2. Licence

    Check the customer's driving licence. If they submitted it in advance it is already verified — the app still re-checks the name and expiry rather than trusting the earlier result. If the automated check is unavailable, photograph the licence and type the printed details to save it for a manager's review.

    3. One-time code

    Send a one-time code to the customer's phone and type in what they read back to you. You never see the code yourself — the customer has to show it, which is the whole point.

    4. Signature and confirm

    Take the customer's signature on the phone screen and confirm. The handover is recorded with time, place and signature.

The gate home

Gatekeepers get a scan button and nothing else. Scan or type the reference, confirm who is taking the vehicle, record the condition, and approve. The result screen says Checked Out or Checked In and offers Scan another.

The manager home

  • Live monitoring — a map with the route trail and a card per active trip.
  • The customer licence review queue, if you hold that permission — approve or reject from the phone with a confirmation prompt.
  • Your notifications.

Other things the app does

  • Records vehicle condition — fuel by quarter-tank, odometer, an inspection checklist and optional photos of the odometer, fuel gauge and walkaround.
  • Reports issues with a severity and a kind, so a major problem reaches managers immediately and a routine note does not.
  • Adds a customer to a booking in the field, with a pickup address if you need one.
  • Hands your session over to a browser with one tap when a job needs the full dashboard.
  • Light, dark or system appearance, remembered per device.

Common questions

Does everyone using the app need KYC?
No — only the person who drives. Sales reps and gatekeepers use the app without Aadhaar or licence verification, because they never take the wheel of a fleet car.
Why can the sales rep not see the gate-pass QR?
Because the gate pass belongs to whoever has custody of the vehicle. On a two-person job the driver holds the car and the pass; the sales rep handles the customer. Each phone shows only its own half.
What if the customer never gets the code?
Then they cannot hand over. The code is proof that the person collecting the car is the person you booked. If the customer genuinely cannot receive it, a manager can resolve it from the dashboard.
