1. Information We Collect
DriveDesk collects information you provide directly, such as when you register an account, add team members, or submit a demo request. This includes names, email addresses, phone numbers, and dealership details. If you use the DriveDesk Staff mobile app, we additionally collect the data described in the "DriveDesk Staff Mobile App" section below.
2. How We Use Your Information
We use collected information to provide and improve DriveDesk services, send transactional communications, and ensure platform security. We do not sell your personal data to third parties.
3. Data Storage and Security
Your data is stored on secure servers within India where applicable. We implement industry-standard security measures including encryption in transit (TLS) and at rest.
4. KYC Data
Aadhaar and driving licence data collected for valet KYC is processed solely for identity verification purposes and is stored in hashed or tokenised form. We comply with applicable Indian data protection regulations.
5. DriveDesk Staff Mobile App
The DriveDesk Staff app is used by authorised dealership employees (valet drivers and gate staff). Accounts are provisioned by the employee's dealership. In addition to account information, the app collects the following:
5.1 Location data (including background location)
While a staff driver conducts an active test drive of a dealership-owned vehicle, the app collects the device's precise location and transmits it to the employee's dealership so the dealership can monitor its vehicle in real time, for fleet safety and theft prevention. Because the driver's phone is typically locked or in a pocket while driving, this collection continues in the background.
Location collection starts only when a vehicle is checked out at the dealership gate for an active trip and stops when the vehicle is checked back in. Location is never collected outside an active trip. Location data is shared only with the employee's own dealership and is not sold, used for advertising, or shared with any other third party. Trip location history is retained as part of the dealership's trip records and is deleted when those records are deleted. The app shows an in-app explanation before requesting location permission, and you can revoke the permission at any time in your device settings — doing so disables live tracking but does not prevent you from using other app features.
5.2 Camera and media
The app uses the camera to scan gate-pass QR codes, to photograph customer driving licences for identity verification at handoff, and to attach photos or videos to vehicle incident reports. Images are captured only when you initiate them and are uploaded to secure storage accessible to your dealership.
5.3 Device and notification data
We store a push-notification token for your device to deliver assignment and operational alerts. The token is deleted when you sign out or your account is removed.
6. Cookies
DriveDesk uses essential cookies to maintain authenticated sessions. We do not use advertising or tracking cookies.
7. Data Retention and Deletion
We retain personal data for as long as the associated dealership account remains active, or as required by law. Dealership staff may request access to, correction of, or deletion of their personal data (including trip location history) by contacting us at social@mobyshare.com; we respond within 30 days.
8. Changes to This Policy
We may update this policy from time to time. We will notify account holders of material changes by email.
