Staff identity verification (KYC)

Aadhaar and driving-licence verification for the staff who drive your vehicles — DigiLocker, fallbacks, and the review queue.

A photocopy of a driving licence tells you almost nothing. It does not tell you whether the licence is still valid today, whether it was ever real, or whether the person holding it is the person named on it. DriveDesk replaces the photocopy with a verification straight from the issuing authority.

Who needs it

Only the people who actually drive your vehicles. DriveDesk keys this off the Drive vehicle permission, not off a job title — so:

How verification works

    1. DigiLocker

    The staff member opens the verification page on their own phone and signs in to DigiLocker, the Government of India's digital document service.

    2. Documents are fetched

    Their Aadhaar and driving licence come back signed by the issuing authority. Nothing is typed in by hand, and nothing is scanned or photographed.

    3. Validity is checked

    DriveDesk checks the licence is still within its validity date. An expired licence is not accepted, regardless of who submits it.

    They are verified. The field app opens and they can be assigned vehicles.

When DigiLocker is not available

Not every licence is available in DigiLocker. There are two fallbacks, and both are recorded so you always know how a given licence was established:

  • Transport-authority check — DriveDesk queries the licence directly against the national transport database. Automated, no DigiLocker account needed.
  • Manual approval — the staff member submits their documents and an owner or manager with the Review KYC permission approves them from a queue.

Reviewing submissions

The review queue is available to the owner and to anyone with Review KYC. Take that permission away and the member is bounced out of the queue on their next page load; give it back and they are in again. Wherever a licence is shown, DriveDesk states how it was verified — DigiLocker, the transport authority, or a manual approval — so nobody mistakes one for another.

What happens when a licence expires

DriveDesk tracks the expiry date and warns before it lapses, so you can prompt the staff member to refresh their documents. Once it lapses they stop meeting the driving requirement and cannot be assigned vehicles until they re-verify.

Common questions

Do you store our staff's Aadhaar numbers?
No. Raw Aadhaar numbers are not stored. Verification records what was confirmed and when, not the underlying document number, and access is restricted by permission.
What can an unverified staff member do?
They can still use DriveDesk — sign in, see their work, use the gate app, complete a customer handover if they are a sales rep. What they cannot do is be assigned a vehicle to drive.
How often does a driver have to do this?
Once, on their own phone, in a few minutes. It is not repeated per booking or per vehicle.
Can somebody handle customers without being verified to drive?
Yes — this is exactly why the driver and sales-rep roles are separate. The sales rep handles the customer and needs no driving verification; the driver drives and does.
