Setting up: your first day and first week
A practical checklist for your first day and first week — fleet, team, KYC, settings and one end-to-end test drive.
DriveDesk accounts are set up by our team rather than signed up for online, so getting on starts with a conversation rather than a form. From the moment your account exists everything below can be done in a single working day, and your 30-day free trial starts then.
Getting your account

1. Get in touch
Tell us your dealership's name, GSTIN, brand and contact details through the contact form. We use them to create the account, so having the GSTIN to hand saves a round trip.

2. We provision it
We create your dealership and its owner account and email you a temporary password with a sign-in link. Your public storefront address is set at the same time — we will confirm it with you, because it is one you may end up printing.

3. Sign in and verify
Sign in with the temporary password and you are asked to set a real one immediately — temporary passwords cannot be kept. Then confirm your email and mobile number and accept the terms, which is what lets DriveDesk send booking confirmations and one-time codes on your behalf.

1. Add your demo fleet
Add the vehicles you use for demonstrations. You can enter the registration number and let DriveDesk fetch the make, model, variant, year, colour and fuel type, or fill everything in by hand. Mark which vehicles are actually available for test drives; the rest stay as inventory and never appear on your public site.

2. Invite your team
Invite managers, drivers, sales reps and gatekeepers by email — or use Quick add for staff without a work email address, which provisions the account and gives you a setup link to hand over directly.

3. Get drivers verified
Anyone who will drive a fleet vehicle completes Aadhaar and driving-licence verification through DigiLocker. This is a one-time, few-minute step on their own phone. Sales reps and gatekeepers do not need it.

4. Configure your dealership
Set your business hours, your address, and — if you want off-site alerts — a geofence centre and radius. Add your logo and a short description for your public site.

5. Run one full test drive
Create one booking, approve it, scan it out at the gate, do a handover, and scan it back in. Fifteen minutes with a real car teaches your team more than any amount of reading.
Week one
- Publish your public website — add an About page, your contact details and navigation, and share the link.
- Point your own domain at it if you have one, and let DriveDesk verify the DNS.
- Import your existing lead list from a spreadsheet so follow-ups start tracking against your SLA.
- Decide who approves bookings. If everyone can approve, nothing waits; if only managers can, you get a clean audit trail on every drive.
- Turn on the geofence if you want to be told when a demo car leaves your operating area.

Common questions
- How long does setup take?
- Under an hour of hands-on work. Most dealerships are running real test drives on DriveDesk the same day, with the fleet, team and KYC complete within one working day.
- Can we try it before committing?
- Yes. Every account starts on a 30-day free trial, no card needed. It is fully operational during it — real vehicles, real bookings, real gate scans. Nothing is a sandbox.
- Do we sign up ourselves or does DriveDesk set it up?
- We set it up. There is no public sign-up form: you tell us your dealership's name, GSTIN and brand, we provision the account and email you a sign-in link with a temporary password. It is usually done the same day, and it means no half-finished dealership accounts exist on the platform.
- What is the web address used for?
- It becomes your public storefront address, so choose the name your customers know you by. DriveDesk suggests one from your dealership name and tells you immediately whether it is free.
- Can we bring our existing leads?
- Yes. Paste the rows into the enquiry importer; it validates every line before writing anything, flags rows that are missing a name or duplicated within the file, and creates the rest.
