Field tasks: deliveries, pickups, service runs and errands
Deliveries, pickups, service runs, transfers and errands — dispatched, tracked and proven through the same system as test drives.
Test drives are not the only reason you send someone out. DriveDesk dispatches every kind of field work through the same system, so a delivery, a service run and a bank errand all show up in one place with the same approval, tracking and proof-of-handover.
The task types
| Purpose | Vehicle | Gate pass | Proof captured |
|---|---|---|---|
| Delivery | Fleet vehicle or free text | One way out | Recipient's one-time code, signature and name |
| Pickup | The vehicle being collected | One way in | Signature of the person releasing it |
| Service run | Fleet vehicle | Round trip | Signature, no code needed |
| Transfer | Fleet vehicle | Round trip | Handover QR |
| Errand | None | None | Completion by the staff member |
One schedule for everything
Bookings, field tasks and vehicle transfers all appear on a single Schedule page, tagged by kind. Filter by type or date range and the filters are written into the address bar, so you can bookmark or share exactly the view you are looking at. The New menu offers a booking and every field-task purpose in one place.
How a field task runs on the phone
- 1
Assigned
The task appears in the staff member's list. If it needs approval it is visible but shows an 'Awaiting approval' badge and cannot be started.
- 2
Started
For a car-less errand, the staff member taps Acknowledge & start. For a vehicle task that requires tracking, acknowledging also starts the GPS session automatically.
- 3
Through the gate
Deliveries scan out at the gate; pickups scan in on return. Errands never touch the gate.
- 4
Handed over
A delivery cannot be completed until the recipient's one-time code has been verified, then a signature and the recipient's name are captured. A service run captures a signature with no code — there is no customer to verify.
- 5
Closed
Deliveries and pickups get the same customer touchpoints as a test drive: a proof-of-handover receipt and a review request.
Common questions
- Can we dispatch work that has no car at all?
- Yes. Choose the Errand purpose, leave the vehicle empty, and the task runs without a gate pass — the staff member simply acknowledges, works, and marks it complete.
- Does tracking start on its own?
- Yes, when the task carries a vehicle and requires tracking. Acknowledging the task starts the GPS session; the staff member does not have to remember a separate step.
- What does an unapproved task look like to the staff member?
- It stays visible so the staff member can plan their day, but the start button is disabled and the server refuses to check it out until a manager decides.
