Customer driving-licence checks

Licence validity and identity are separate questions — pre-checks, the review queue, manager overrides and what cannot be overridden.

Before you hand a customer the keys to a car worth several lakh rupees, two separate questions need answering. Is this a real, valid driving licence? And is the person in front of you the person on it? DriveDesk keeps these apart on purpose — a completely genuine licence can still belong to somebody else.

Checking before the day

The smoothest version is the one where nothing has to happen at the door. Send the customer a personal one-time link and they submit their licence through DigiLocker in advance. When your staff member arrives, the licence is already verified.

  • Staff can send the link from the app for a specific customer on the booking.
  • Managers can re-send it from the booking page or the customer communications panel — useful when the link expired or was already used.
  • On a multi-stop home visit you choose which customer's link you are sending.

Checking at the handover

If nothing was submitted in advance, your staff member captures the licence on the spot. The automated check runs against the transport authority. If it comes back clean, they proceed. If it does not, the handover is blocked until somebody with authority decides.

When the automated check is unavailable

    1. Capture it manually

    The staff member photographs the licence and types the printed details. The app asks them to confirm they are saving it for review rather than proceeding as verified.

    2. It queues

    It lands in the customer licence review queue for an owner or manager with the Review customer licence permission.

    3. A manager reviews

    The reviewer sees the full printed details — including the ones people forget to note, like gender and father's or spouse's name — and can correct anything the text recognition misread before deciding.

    4. Decision

    Approve, or reject with a note. Rejecting requires a note so the customer and your staff both know why. A rejected pre-booking licence can be re-opened later.

Managers can clear this queue from the phone as well as the dashboard — the manager home has a shortcut, and approved cards drop out of the queue as you decide.

Overriding a block

Sometimes the check is simply wrong, or the licence is fine and the system cannot reach the authority. A manager can clear a blocked licence, but never silently:

  • The override needs a written reason.
  • It is recorded permanently against the trip, with who made the decision and when.
  • It can be done from the gate scan (for a gate checkout), or straight from the booking page for a showroom drive where there is no scan to hang it on.

Customers who have driven with someone else

If a customer's licence was approved at another dealership on the platform, that is shown to your reviewer as context — but it is never automatically trusted. Every dealership makes its own decision about who it hands a car to.

Common questions

Can we still do the drive if the licence check fails?
Yes, but with a manager's written override. The block is not there to stop business; it is there to make sure somebody accountable made the call and it was recorded.
What if the check cannot reach the authority at all?
It is saved for review and the drive can proceed on a manager's decision. Your staff are never left stuck at a customer's door with no way forward.
What if the automatic reading of the licence gets a field wrong?
No. The reviewer can correct misread fields before approving, so a bad scan does not cost the customer a second trip.
How do we avoid this taking time at the door?
Send the customer their licence link when you confirm the booking. By the time your staff arrive it is already done, and the handover takes seconds.
